Refunds 2020

Sometimes a family wishes to withdraw their registration for camp. On rare occasions (it has only happened thrice since our founding in 2002) a family wishes to withdraw their child after camp has started. Sometimes – in recent years it's been almost one student per summer– we have had to dismiss a child for serious and repeated violation of our Behaviorial Standards. Under which of these circumstances does the family get a refund? We answer below.

The fundamental principle driving our answers is this: At some point, usually a few weeks before camp starts, our host institution asks us exactly how many people will attend and commits us to pay for a guaranteed minimum number whether or not that many are in attendance. They do this because they have to commit resources to serve us. So if we go below the guaranteed number and refund the tuition, it is a loss for us.

Withdrawal Requests Prior To Camp
If the request to cancel is received by May 31, only an administration fee of $100 will be charged. This means, if a deposit or full payment has been made, the total amount paid will be refunded less the administration fee of $100.

For requests received after May 31, no refund is made unless the student cannot come to camp due to medical reasons and has appropriate documentation from a physician. In this case, the tootal amount paid is returned less an administration fee of $100. If the request is not due to medical reasons, then the parent/guardian of the student is responsible to pay the full fee that had been assessed (the full fee less any reductions at the time of payment).

Withdrawal Requests During Camp
Requests made after the camp has commenced will be considered similarly to requests made before camp but after May 31. Thus, no refund will be made unless the student can not continue to attend camp due to medical reasons of a physical nature. In the event of discontinuance due to medical reasons – as attested by a physician – the program fee will be refunded on a pro-rated basis. Homesickness or mental problems will not be considered as enabling factors for refunds.

Dismissals from Camp
There will be no refund if we dismiss a student.

How to Request a Refund
Refund requests must be in writing – either email (april.verser@mathpath.org) or postal mail (address varies depending on whether we are already at camp). In most cases refunds are issued within 30 days.

Program Cancellation
MathPath reserves the right to cancel or modify the Program before or during its session for any reason, including but not limited to force majeure (extreme weather, medical epidemics or outbreaks, etc), unavailability of facilities or personnel, or other emergencies.

In the event that MathPath is required to cancel the program, MathPath agrees to provide notice to participants and their families as soon as possible and practical. MathPath will determine to what extent it is possible and practical to return funds received from the participants and families, less expenses already incurred or which MathPath will incur due to the cancellation of the program.

Should the program be cancelled for any reason, MathPath will not be liable to the participant or the family for any costs incurred due to the cancellation, such as cancellation or rebooking of airline tickets, visa fees, or any other expenses.

Families who are concerned about COVID-19 affecting their travel or their attendance at MathPath 2020 may wish to consider travel insurance and/or summer program insurance, which can be bought from online vendors or local insurance agents. We have been monitoring the situation carefully and currently plan to hold MathPath as scheduled.
